Customer Master
-
The Tax Exempt field, under the Credit tab, now allows up to 14 characters to accommodate different types of input.

FastWeb Master
-New ability to assign a Writer and users to be notified when orders are entered for customers in a specific category.

Invoice Inquiry
-Now prevents users from modifying or voiding an invoice that is awaiting a Cash Receipts posting.

Sales Order
-New functionality allows users to calculate a Miscellaneous Charge as a percent of the subtotal on the order. In the Miscellaneous Charge window, click on the calculator button, after you have entered the charge code, and enter the percent of the subtotal that you want to charge (use a negative percent for discounts). If you plan to use this feature with a “Discount” Miscellaneous Charge, please be sure that this charge is set to prorate tax. You can verify this in the Miscellaneous Charge screen (File > Company > Miscellaneous Charge).
-Modified to speed up the validation for Customer P/O.

Salesman Commission Statement
-New functionality allows users to select a Date Range or Period for the report.

Stock Receipts
-New functionality allows for the entry of detailed freight by right-clicking on the Freight field and selecting “Detail…”.

NEW! Opportunity Pipeline now available!
-
Track pipeline quotes, view converted Sales Orders, and projected Sales and Profit values for each of your salesmen. This option is available as part of our monthly-subscription CRM package.

NEW! Salesperson Reporting now available!
-Give your salespeople limited access to the reporting features of Business Intelligence. Easily drill down into invoices, products, and customers. This feature requires Business Intelligence and is offered as part of our monthly-subscription CRM package. Contact a DDI Customer Care representative for more information and to have this feature enabled.

NEW! FastWeb configuration screen now available for use with FastWeb 2.0
-In preparation for the highly anticipated release of our new FastWeb online ordering integration, the configuration screen has been added under the Company menu. This screen allows for the setup of Sale, Clearance, Best Sellers, and Featured products, as well as default settings for Customer Categories. For more information regarding FastWeb, click here.

Accounts Receivable AR Collection Letters
-New right-click and hyperlink functionality allows users to drill-down into Invoice Inquiry and the Customer Ledger.

Accounts Receivable Cash Receipts Posting
-Now displays a warning if a tax credit for the same invoice has already been issued.

Accounts Receivable Customer Statements
-New option available to print the Salesperson's name on the statement by checking off the “Print Salesman Name” option.
-Now indicates that the statement does not include invoice credits.

Contact CRM
-The Web Password (Customer Contact > Web Permissions tab) is now encrypted when entered, and will be unencrypted when the user logs onto Fast Web 2. Only users with a high enough access level can view the password.
-The Web Password field will now only allow letters and numbers to be entered.

Critical Inventory Report
-When the user chooses to create a Projected P/O from this screen, the system now displays a warning that data will be lost if the Projected P/O screen is already open and has data in it.

Inform Marketing Manager
-Now supports non-SSL authenticated email servers. The SSL flag in Company Master has been separated from the use of authentication credentials.

Invoice Inquiry
-The users now has the ability to see the cost if the “See Salesman Cost” access level is high enough and based on other company settings.
-New Access Level “SALES INVOICE UPDATE” determines if the user can change an A/R Invoice.

Main Form
-Now updates the subscription authentication in real time, as the user logs in.
-The Ticker can now be disabled by right-clicking on it.
-Re-structured and renamed some items on the CRM menu.

Pricing Customer Margin Price Update
-New logic is set to use the contracted cost based on the Company setting (Company Master > Pricing/Costing tab).

Pricing Price Matrix
-Matrix formulas now require an effective date.
-The calculator button no longer displays for net prices.

Pricing Price Rollup Schedule
-The system now deletes a blank rollup record instead of saving it.

Product Analysis
-Now hides the cost of certain transactions if the user does not have permission to view them based on Company settings and Access Levels.
-Now allows users with the proper access to see the cost by comparing the Sales Orders G/P Cost Column and the Salesman Cost Column to the Access Level set for “See Salesman Cost”.

Product Master
-New validation added to ensure that users can only save products into the lowest of an existing Web Category, Sub Category or Sub2 Category.
-The company now has the option to use a manually entered value (in Stock Receipts) to calculate the Landed Cost column. The “Update Landed Cost in P/O Receipts w/o A/P Invoice” flag in the Company Master should be set to “Y” to use this feature.
-Now allows users with the proper access to see the cost by comparing the Sales Orders G/P Cost Column and the Salesman Cost Column to the Access Level set for “See Salesman Cost”.
-Web Options tab – New “Sales” option allows users to designate the sale category for FastWeb products.

Product Web Category
-The system will not allow a Web Category to be saved without a description.
-New “Image File Name” field allows users to display an image for the Web Category.

Purchase Order
-New Access Level “P/O Inquiry” controls the ability to access the P/O Inquiry screen.

Sales Customer Order Pad
-Now displays the List Price in the price tooltip if no price breaks exist.

Sales Order
-User now has the option to use the Posting or Invoice Date for POS invoices.
-New access level “Cost Override in P/Q” controls the ability to override the cost in a Price Quote.
-Now prevents negative prices from being entered.
-The Ship To Attention field is now limited to 30 characters so that it is not cut off on printed Sales Order.
-Users are now allowed to see cost based on the Company setting for See Salesman Cost.
-New option available to prompt the user to retain the taxable status for product/customer.

Salesperson Dashboard
-Now no longer displays axis points with no data.
-Now uses the same email form as the inform Marketing Manager email form.

-New field for Freight added to allow users to enter a freight amount without an A/P Invoice. The “Update Landed Cost in P/O Receipts w/o A/P Invoice” field in the Company Master (Pricing/Costing tab) must be set to “Y” for this freight to update the cost immediately.
-Right-click on any editable product in the receiving to change the price or access the Product Master and Product Analysis screens.
-Disabled the option to inquire on an SP product because it is not available in the Product Master or Product Analysis.

Introducing: Territory Manager

Beyond the typical Sales and Gross Profit figures, Territory Manager allows you to monitor the overall activity of each of your salesmen (tasks, events, notes ), then drill down to important customer accounts, and even specific contacts.

New Reserved Inventory Report
-Allows you to view information regarding inventory items reserved for specific customers or salesmen, including the quantity available, YTD sales, and more.

Accounts Receivable Cash Receipts Posting
-No longer allows users to save a receipt that has no entries.

Bank Reconciliation
-New History Reconciliation Report allows you to view past bank reconciliations. The system will begin to archive reconciliations with this upgrade.

Customer Master
-New “Part Numbers” tab allows you to enter and maintain Customer Part Numbers for products. Click the “Edit” button to insert a blank row, then enter the product and the part number for the customer. This part number will print on your customer’s invoices.

Pricing Customer Margin Price Update
-New Margin Limit functionality allows customers not to incur a price increase if they are paying at a certain margin level.

Product Master
-New “Part Numbers tab allows you to enter and maintain alternate Customer Part Numbers for the product. Click the “Edit” button to insert a blank row, then enter the customer and the part number for the product. This part number will print on your customer’s invoices.

Sales Order
-The system now prevents a line item from being deleted once invoices exist for the order.

-For Cash Sale credit card orders: now supports processing for Discover in the Card Verification Code field.

Introducing: Help Desk

7/8/2009 Enhancements

The following enhancements are now available with the latest Inform upgrade, the 7/8/09 Release Candidate, which can be downloaded from the Customer Care website.

Backorder Handling

  1. Order Status is updated to reflect 'B', (Backorder Status), if any item on the order is backordered at the time of Order Entry or Shipment Confirmation.

    Prior to this update, an order's status was 'O' for Open, with no backorder status until invoiced.
  2. Enhanced backorder handling restructures the priorities and business rules in allocating received material to customer backorders.

    Linked Sales Orders get first priority. Linked items are guaranteed allocation of received merchandise before other customer orders and backorders are allocated.
    Linked sales orders are not allocated until the specific linked PO is received.

    Prior to this update, linked sales orders could get fulfilled by the earliest received PO.
  3. Received merchandise is reserved for backorders in the Ship Confirm / Billing Cycle.

    Prior to this update, orders in the Ship Confirm / Billing Cycle were not included in Automatic Backorder Release evaluation. This approach occasionally resulted in backordered merchandise being allocated to other, newer (therefore lower priority) orders. In some circumstances, a customer order would not be fulfilled for an unexpectedly long time period.
  4. Automatic Backorder Release reschedules the order ship date for backorders (orders that have been invoiced), and builds a truck manifest according to the Customer's truck route schedule.
    Open orders may have a valid existing ship date, so they are not automatically rescheduled. Backorders always have the original ship date cleared, so a backorder is now rescheduled automatically.
  5. Sales Order workflow rules are reorganized to improve backorder handling. Ship Complete and Blanket Order designation is now moved to new, separate check boxes on the Sales Order header page.

    Prior to this update, Ship Complete or Blanket Order workflow was selected by creating and using Order Types. This approach was not evident to new users, and limited the availability of the Order Type field for its original intended use, sales order reporting.

    The Customer Master File has a new field called 'Ship Complete'. This field should replace the Default Order Type field for inform users employing Ship Complete workflow. Use Mass Change, create a selection criteria with "Order Type" Equal to (Your Ship Complete order type), and check the new "Ship Complete" field.

The following enhancements are now available with the latest Inform upgrade, the 7/2/09 Release Candidate, which can be downloaded from the Customer Care website.

Standalone Customer OrderPad
New standalone Orderpad screen gives salespeople and customer service reps quick access to customer sales history, current sell price and recent sales history. The Orderpad now includes the Customer Order Form, which has been enhanced and moved from the Customer Sales History screen.

Enhanced OrderPad
New features include hoverhelp to display additional information about products on the OrderPad. Hover your mouse cursor over the product description to reveal long product descriptions and Special Status (Non-Stock, Consumable, Discontinued). Hover your mouse over the product price to reveal sell price origin (Margin, Quote, or price matrix formula), Cost, and quantity breaks when present. Additionally, the customer YTD purchase quantity is included on the screen.

Enhanced Customer Order Form
The Customer Order Form is moved from the Sales History screen to the new standalone OrderPad. This move aligns the order form with the OrderPad screen, eliminating the need to select a year, and including quoted items on the printout. A new Customer Pricing Analysis report is available from the OrderPad. This report adds GP% and YTD Quantity, providing a convenient and easy analysis to review and justify customer pricing.

Customer Order Form Print-Merge
Print Customer Order Forms for groups of customers and or groups of products using the familiar customer and product selector screens. For example, use this new feature to print Customer Order Forms for a salesperson's customer's. Optionally print order forms or price analysis reports for only for due-to-buy, or quoted products.

Enhanced Customer Margin Price Update
Customer Margin Price Update is used by distributors who want greater control over automatic margin of last sale pricing. This enhancement enables pricing managers to select only certain products and certain customers to apply a margin price update to. Additionally, you can raise or lower sell prices by a specified percentage, or input a global GP% to apply to all selected customers.

Vendor Source Code
Equivalent to the Customer Source code, the source code system allows users to 'tag' or add searchable labels to vendors. Use this system to create a searchable database of product sources, or to categorize vendors into searchable groups for labeling and reporting.

Due-to-Buy Report
Identify and report on Due-to-Buy sales suggestions based on your customers purchasing history. Filter and select the due-to-buy report using the familiar Customer Selection Screen.

AFFLINK Trace Sales and Rebate Export

Based on the switch setting, the Accounts Payable invoice screen will show either a Delete or a Void button. Voided invoices can be recalled for viewing, but not edited.

Projected Purchase Order enhancements
Streamlined special order management workflow is the goal of this ongoing enhancement to the Projected Purchase Order system. 

A new + symbol next to items on a Projected PO enables the buyer to expand the view and see sales orders waiting for the item. Optionally Drill-down to the underlying sales order. This feature will allow inform users to consider an alternate, streamlined purchasing workflow, and bypass or discontinue use of the Special Purchase Requisition screen.

The Special Purchase Requisition workflow, while very effective for many distributors, does not manage vendor minimum order requirements well, and can impose a 2-step procurement process, one step for special order items, and another for stock items from the same vendor.

This developing workflow will continue to evolve over the next several weeks. The Special Requisition screen is available and unchanged.

Salesman Commission
New Salesperson commission method accommodates commission calculations by order, instead of commission calculated by line item. New Company Master File switch, "Salesman Commission by Product Detail", enables or disables product commission matrix

Configure commission retention by invoice age and order type. See new fields for A/R aging in Commissions screen.  Commission earnings forfeited as a result of unpaid invoices are detailed on the salesperson commission statement. New drop-shipment commission rate option.

This developing commission system will evolve over the next several weeks, including development of a three-tier compensation matrix. New structure supports incentive plans by sales order dollar volume / gross margin / commission percentage

Price Quote Form configuration option
inform has an important feature to print price quotes that cannot easily be ‘shopped’. Use the Product Master file Quote Description field to create generic item descriptions. Then, configure your quotes to print with these alternate, generic descriptions.

This new feature sets the quote description as the default print format for Price Quotes. Set this default for your showroom branches with the “Use Quote Description switch in the Branch Master file.

  • Physical Inventory Entry - Removed the filter for inactive items only. This filter caused inventory count inconsistencies.
  • Customer Ledger - Open P/O tab system was trying to load data when no customer number was present. Internal Notes displayed twice when loading customer data.
  • Sales Order - Serial Numbers were populating on wrong Line Items when an order had drop ship items mixed with other linked PO types. Serial Number dialog was coming up for drop ship orders. Serial Numbers now get remembered the first time they are entered so the user doesn't need to re-enter in case of validation errors. Ship Date was getting blanked out after changing Ship Via.
  • Sales Order Report - Provides totals when sorted by Sales Order Number.
  • Main Form - News feed was opening multiple browser windows at times. The crawler/tickler was not appearing at times. May still be hidden when POS register is present.
